Coach's Diary Privacy

Coach's Diary is made by Thrice Woven. This policy also applies to the app if it is released later under a different name; we will say so on this page when that happens.

The short version

Coach's Diary keeps your working records in the app on your phone. It has no account, app sync, analytics or advertising. The app does not connect to the internet. Your phone's own backup may include app data, depending on its settings. We do not receive your client records through the app or your phone's backup.

What the app stores, and where

You enter information about your coaching work: client names and contact notes, session times, attendance, session notes, “next time” reminders to yourself, and message templates. All of it is saved in a database inside the app's private storage on your phone. Your phone may include that data in its own backup. Uninstalling can remove the working copy; check that you have a usable backup first.

The app ships with a demo week of made-up clients so you can try it. The demo is generated on your phone and is removed with “Clear all data”.

What we collect

The app does not collect or send your client records to us or anyone else. It has no permission to use the network. It does not use the camera, microphone, location, contacts or photos.

Backups

You can create a backup from Settings. A backup is a single file, encrypted on your phone with a passphrase you choose. The app then hands the file to your phone's standard share or save sheet, and you decide where it goes: a file on the phone, a cloud drive you use, a message to yourself. Whatever you choose is governed by that service's privacy policy, not ours. Opening the share sheet does not confirm the file was saved; check the destination you chose. Nobody can open the file without the passphrase, and nobody can recover the passphrase, including us. Restoring a backup replaces the data in the app with the data in the file. Coach's Diary does not sync records between phones; to move them, save and restore an encrypted backup file yourself.

Sharing messages

When you share a message to a client, the app opens your phone's normal share sheet with the text prepared. The message is sent by the app you pick there, such as your messaging app. Coach's Diary does not send anything itself and does not keep a record of what you shared or to whom.

Your clients' information

Your clients' names and notes are entered by you and kept in the app or a backup you choose. You are responsible for what you write about them and for keeping your phone secure. The app asks you not to include anything in a note that you would not want a client to read.

Pilot builds and TestFlight

If you are trying a pilot build, the app itself behaves exactly as described above. On iPhone, Apple's TestFlight service may collect crash reports, usage statistics and any feedback you send through TestFlight, under Apple's privacy terms, and may share crash and feedback data with us. On Android, pilot builds are installed directly and no such service is involved. If you report a problem to us by message, we ask you to describe the steps and not to include a client's name.

Children

The app is for adult fitness professionals managing their own clients. It is not directed at children.

Changes

If the app ever starts to send or receive data, this policy will change first and the app will say so on first launch. The current version of this policy is always at this address.
